AI
What is AI?
AI, or artificial intelligence, is a digital tool that can help create, organise and improve written content.
It can help draft ideas, rewrite information, summarise notes, create checklists, or turn rough details into clear communication.
For race clubs, AI can be useful when preparing for race days, promoting events, communicating with sponsors, writing social media posts, or organising information for volunteers and committee members.
AI does not replace club knowledge, decision-making or final review. It is simply a tool that can help clubs save time and get started when preparing content or planning activities.
Why clubs might use AI
Many clubs are run by small teams, committees or volunteers who are already managing a large amount of work.
AI can help reduce the time spent drafting basic content or starting from a blank page.
AI may help clubs:
- Turn rough event details into clear wording
- Draft social media posts
- Create race day checklists
- Prepare volunteer call-outs
- Write sponsor thank you messages
- Develop simple marketing ideas
- Summarise meeting notes or planning actions
- Rewrite content in a clearer or more professional tone
- Prepare first drafts of website content, newsletters or event updates
How AI works
A club types in an instruction, question or request. This is often called a prompt.
The AI then provides a draft response based on the information provided.
For example, a club could type:
“Write a Facebook post promoting our race day on Saturday 14 June. Gates open at 11am. There will be live music, food trucks and kids activities.”
The AI may then create a draft post that the club can review, edit and use.
The more detail the club provides, the more useful the result is likely to be.
How to write a useful prompt
A useful prompt should include:
- What the club wants created
- Who the audience is
- Key event details
- The tone or style required
- Where the content will be used
- Any important information that must be included
For example:
Basic prompt:
“Write a race day post.”
Better prompt:
“Write a friendly Facebook post for a country race club promoting a family race day on Saturday 14 June. Include gates opening at 11am, live music, food trucks, free kids activities and ticket information. Keep the tone welcoming and community-focused.”
AI websites and tools
Clubs may consider using:
ChatGPT
An AI chatbot that can help with writing, planning, brainstorming, summarising and improving content. It can be used to draft social media posts, media releases, emails, checklists and event plans.
Microsoft Copilot
An AI assistant connected to Microsoft tools. It may be useful for clubs already using Microsoft Word, Excel, Outlook, Teams or Microsoft 365.
Google Gemini
Google’s AI assistant, which can help with writing, planning and brainstorming. It may suit clubs already using Google tools such as Gmail, Docs, Sheets or Google Workspace.
Canva AI / Magic Write
Canva includes AI writing and design tools that can help create written content, generate ideas and support design work within Canva itself.
Important reminder
AI should always be checked before anything is published or sent.
Clubs should check:
- Dates and times are correct
- Sponsor names are accurate
- Racing information is correct
- The tone suits the club and community
- The content is appropriate for public use
- Any claims or statements can be supported
- The final wording sounds like the club
